The Surprisingly Simple Secret to Scheduling RootsTech Sessions

RootsTech 2026 starts March 5th, and I have 28 Priority 1 sessions already on my calendar. Scheduling RootsTech sessions strategically – not just adding everything that looks interesting – is what separates a productive virtual conference from three months of half-watched replays.
My system starts with a dedicated Google Calendar with color-coded priorities, runs through an Airtable tracking layer, and finishes with a syllabus review pass that has changed my Priority 1 list more than once. Then I take two days off work. Every year. Without exception.
In this post I walk through my complete day-by-day schedule for RootsTech 2026, explain the system behind it, and share what happens after the conference ends. If you’ve ever felt overwhelmed by RootsTech, this one’s for you.
